ExamQR Exam User Guide

A single guide to ExamQR Exam, the software for running exams on a LAN computer lab — with instructions for exam organizers / instructors who set up & proctor exams and for candidates taking them.

🏫 TEX Vietnam JSC 🖧 Works on a local network (LAN), no Internet required 💾 Answers save automatically — no risk of losing data

What is your role in this exam?

Choose your role to see the right guide. Each guide is split into collapsible sections, with a quick search box.

💡

In common: The software runs on a local network, so exam computers do not need Internet — they only need to be on the same network as the server. A candidate's answers are saved continuously; a network drop, switching computers or a restart will not lose their work.

⚠️

During the exam: do not quit the application and keep the network connection stable. Candidates should tell the proctor right away about any problem in the exam room.

An Exam goes through 6 steps. You can go back and edit at any step before starting the exam.

Sign in → Create Exam → Create Subject → Prepare Subject → Start & monitor → Results & reports
(§1) (§3) (§4) (§5: Tests, rooms, (§6) (§7)
                                               Candidates, seating)

Two shared libraries serve every Exam (open them from the left menu on the home screen):

  • 🖥 Computer labs — list of rooms + machine layouts.
  • 👥 Candidates — list of candidates + classes/groups.

Set them up once and reuse them across many Exams.

1.1. First launch — create the admin account

The Sign in screen opens in Create admin account mode:

  1. Enter a Username (e.g. admin), Display name (optional), and Organization email (optional — use a role-based email so it can be used for recovery).
  2. Enter a Password and Confirm password.
  3. Click Create account & sign in.
  4. The software shows a Recovery code — it appears only ONCE. Take a screenshot or print it and keep it somewhere safe, then click I have saved it — Continue. This code is used to reset your password if you forget it.

1.2. Daily sign-in

Enter your Username + Password → Sign in.

  • Forgot your password → click Forgot password? → enter your Username + Recovery code + a new password → Reset password.

1.3. Accounts & adding instructors (👤 Accounts in the left menu)

  • Change my password: enter your current password + a new password → Change password.
  • Add an instructor (admin only): enter Username + Display name + Password → Add instructor. The software generates an instructor recovery code — hand it to them to keep.
  • For each user you can Reset password or Lock/Unlock the account.

1.4. License (🔑 License in the left menu)

  • See the current plan, the number of concurrent candidates allowed, the expiry date and the machine code.
  • Upgrade: scan the QR code with your phone to see pricing & pay (the order is tied to this machine automatically) → after paying, click ✓ I have paid → Get license. Or enter a license code (received by email) → Activate.
  • Changing machines: click Deactivate this machine to move the license to another machine, or pick the old machine in the list and click Replace with this machine.
💡

The Free edition limits the number of concurrent candidates and does not allow data export.

After signing in you land on the Home (Dashboard). The left menu has:

ItemWhat it does
🏠 DashboardOverview: number of exams/rooms/candidates, server address + QR, system status (clock, network port, disk, embedded browser).
📝 ExamsList of Exams — create / open / rename / archive / delete.
🖥 Computer labsShared library of rooms + machine layouts.
👥 CandidatesShared library of candidates.
⚙️ SettingsOrganization information + report templates (shared by all Exams).
👤 Accounts / 🔑 LicenseAs in §1.

On the Dashboard, 🌐 Server address shows the address candidates connect to together with a QR code. Exam computers do not need Internet — they only need to be on the same LAN as the server.

Go to 📝 Exams:

  • ➕ Create Exam — name a new Exam.
  • 📂 Load .stexam package — load a ready-made content package (Tests + answers + answer keys + candidates).
  • 📦 Restore archive — restore an Exam from a .stbak file (results are kept intact).

Each Exam row has:

  • Open ▸ — open the Exam to configure/run it.
  • ✎ rename · 📦 archive to a .stbak file (you can then delete it) · 🗑 delete.

Inside an Exam (the Exam navigation bar)

After you Open an Exam, the top bar shows ‹ Exams (go back), the Exam name, the Hub address and ● number of computers online. The Exam's left menu:

📚 SubjectsList of Subjects — add / configure / start / stop.
🗓 ScheduleThe Exam's schedule.
🔑 CandidatesThe Exam's candidates.

In Overview, if you want to allow exams on phones/browsers, turn on Allow exams on phones / browsers and have candidates scan the QR code.

⚠️

⚠ Taking the exam on a phone is an OPEN exam — the device is not locked down as in Kiosk mode.

Inside the Exam, go to 📚 Subjects → + Add Subject. You can filter/search by status: All / Ready / In progress / Finished / Preparing.

Each Subject has a Manage ▸ button that opens a detail page with 5 tabs:

TabWhat to do
InfoConfigure the Subject + view statistics (§4.1).
ScheduleAssign rooms & Sessions to the Subject (§5.3).
TestsImport / edit / shuffle Tests (§5.1).
SeatingSpread candidates across rooms + assign Test codes (§5.4).
Candidates & Exam controlAdd candidates, start the exam, monitor (§5.5 and §6).

4.1. Subject settings (Info tab → ✎ Edit settings)

The dialog has 3 tabs:

  • General: Subject name · Duration (minutes) · Timing mode · Kiosk mode (locks the computer, blocks documents & Internet — clear it for an open exam) · Default Test display style.
  • Scoring: Score scale (0 = use raw score, e.g. 10) · Rounding mode · Number of decimal places.
  • Results: What candidates see right after submitting (nothing / total score only / correct-incorrect / full) · Passing score (leave blank = no pass/fail).

Click 💾 Save settings.

The Info tab also has ▶ Start exam / ⏹ Stop exam and a Statistics panel (Total candidates, Submitted, In progress, Not joined, Average/Highest/Lowest score, and a ⟳ Refresh button).

5.1. Load & manage Tests (Tests tab)

  • 📄 Import Test from Word — opens the import dialog:
    • Set the Test name, 📂 Choose file… (.doc/.docx), preview, then 💾 Save Test.
    • ⬇ Download template to write the Test in the correct table format.
    • 🔄 Convert — convert a free-form Test into a table-format Word file so you can review/edit it and import it accurately (formulas/images are preserved).
    • Each import adds one source test.
  • Each Test in the list has:
    • 👁 View — view the content of each Test code.
    • ✏️ Edit Test — edit the name + content (questions / answers / properties). Editing keeps the same ID and syncs automatically to the derived Test codes; if the Subject is in progress, the update is pushed to candidates' computers with a notification.
    • ⏱ Timing — set time per section or per question (overrides the Subject's overall duration).
    • 🎲 Shuffle — generate multiple derived Test codes by permutation (enter how many to create → 🎲 Generate more); view/edit/delete each code.
  • If the Subject has several Sessions: tick the Session columns on each Test (which Test is used in which Session) then 💾 Save Tests × times.

5.2. Computer lab library (🖥 Computer labs in the main menu)

  • + Add room — set a name + number of Rows × Columns.
  • 🖥 Manage machines — open the layout: click each cell to mark a position as HAS a machine (green) or empty (gray); adjust Rows/Columns; Select all / Clear all; Save layout. Only cells with a machine can be assigned candidates.

5.3. Subject schedule (Schedule tab)

  • ➕ Add room — choose rooms for the Subject (saved to the shared library).
  • 🕐 Sessions — add Sessions (e.g. "Morning session" 08:00). No Sessions yet → all rooms share a single sitting.
  • For each room, tick the applicable Sessions → 💾 Save schedule.

5.4. Seating & assigning Test codes (Seating tab)

  • 🎯 Seat & assign Test codes — automatically spreads candidates across rooms and assigns Test codes so that neighbors (the 8 surrounding seats) share the same Test as little as possible. Each color = one Test code.
  • ⤓ Export Excel — export the seating chart.
  • If there are several rooms × Sessions, use 🗓 Schedule seating (on the control tab) to distribute the number of candidates across the Room × Session grid, then Apply seating schedule.

5.5. Add candidates (Candidates & Exam control tab)

  • + Add candidate — enter Candidate number, Candidate ID (blank = use the Candidate number), Full name, Date of birth (the default password is in ddMMyyyy format), Gender, Room, Session, Test code.
  • More options ▾:
    • 👥 Choose from Library — pick from the shared candidate library.
    • ⤓ Import from Excel — choose the Sheet, header row, and map columns (ID + Full name required; Group/Date of birth/Gender/Candidate number optional — if the Candidate number is left blank the system numbers them automatically) → preview → 💾 Save & Import. Import is an upsert: scores/submissions/status are kept, and duplicate Candidate numbers are renumbered automatically.
    • 📥 Import offline submission (.stsub) — load a submission a candidate made while offline.
  • Candidate library (👥 in the main menu): + Quick add (ID/Full name/Class), search, select several to set class/group or 🗑 Delete selected.
💡

Requirements to start an exam: the Subject must have candidates and have Tests; with several Sessions/rooms, every candidate must be seated. If something is missing, the Start button shows the reason (hover for details).

Go to the Subject's Candidates & Exam control tab (or use the ▶ Start button in the Subject list / Overview).

6.1. Before starting

  • In Kiosk mode, a yellow box shows 🔑 Exit code: XXXX — read it out to candidates who need to exit after a network loss.
  • Tell candidates the server address / QR (on the Dashboard or Overview) and their sign-in password (by default their date of birth ddMMyyyy).

6.2. Start the exam

Click ▶ Start exam. While the exam is running, the button changes to ⏹ Collect Subject.

6.3. Monitoring table (refreshes about every 1.5 seconds)

  • Filter chips: All / Submitted / In progress / ⚠ Disconnected / Not joined; filter by Session and Room if available.
  • Candidate table: Candidate number, Full name/ID/Password, Room, Session, Test code, Status (colored), Score; sortable by each column.
  • Status colors: Submitted (green) · In progress (orange) · Not joined (gray) · Disconnected (red).

6.4. Actions during the exam

Per candidate: Edit · Delete · Add time · Send message · View submission (once submitted).

For groups (bulk):

  • Add/Subtract time: opens Adjust time — choose + Add time or − Subtract time, enter the minutes (quick buttons 5/10/15), apply to everyone or the currently filtered group → Apply. (Time added to the whole Subject and time added to an individual candidate stack — use this to make up for a computer swap.)
  • Group message: opens Message the group — type the text → Send (shown as a banner on candidates' computers).
  • ⏹ Collect Subject — forces every computer to submit automatically.

Handling candidate requests (alert banners):

  • 🔀 Switch computer — a candidate moves to another computer: Approve / Reject each request or ✓ Approve all.
  • 🚪 Request to exit — a candidate asks to leave (Kiosk mode): Approve each one or ✓ Approve all.

Kiosk mode (if on) locks the candidate's computer: blocks Alt+Tab/Win/Ctrl+Esc/Alt+F4, full screen. Proctors can emergency-exit with Ctrl+Alt+Shift+Q.

💡

The system does not lose work through incidents: unplugging/replugging the network, restarting the server, switching computers, a frozen client — answers and time are recovered. A Candidate number has only one session: signing in on a new computer kicks the old one off.

After you Collect the Subject, scores are graded automatically right away (multiple choice, true/false, fill-in, matching, etc.; essay questions are graded by hand via View submission).

7.1. Print / Export (the 🖨 Print/Export data button on the control tab)

Open Reports → choose a type:

  • 📊 Score sheet · 📋 Candidate list · 📈 Test & question analysis · 👤 Candidate analysis · 📝 Answer sheet.
  • 📦 Export practical work (ZIP) — for practical Subjects (file submission).

7.2. Designing report templates

In Report designer (tabs 🎨 Design / 👁 Preview):

  • Show/hide columns, rename columns, set width, alignment (Left/Center/Right), reorder with ▲ ▼.
  • Options: Show No. column, Group by, Paper size, Table borders, header/footer.
  • 💾 Save the template · 🏢 Organization (edit the organization details printed on reports) · ↺ Restore defaults.
  • Print directly through the embedded browser window (🖨 Print).

7.3. Analysis

  • Test & question analysis — difficulty, discrimination, and choice distribution for each question (⟳ Re-analyze, 🖨 Print).
  • Candidate analysis — ranking, score distribution, pass rate.

7.4. Archiving & sharing an Exam

  • Export .stexam package — packs the whole Exam (Tests + answers + answer keys + candidates), with optional AES-256 encryption by password.
  • 📦 Archive to .stbak (in the Exams list) — also backs up results and can be restored later.

Shared by all Exams:

  • Organization information — organization name, address, contact details (printed at the top of reports).
  • Report templates — edit each template (✎ Edit template) or ↺ Restore the defaults.
SituationWhat to do
A candidate's computer can't see the serverHave the candidate enter the IP manually (shown on the Dashboard). Open the firewall for port 5000/TCP and 45454/UDP.
Server with several network cards (Hyper-V/WSL/VPN)In Overview, choose the correct Advertised IP address in the ComboBox.
Different subnet/VLANUDP does not cross subnets — enter the IP manually.
A candidate loses the network while submittingTell the candidate to export the .stsub file, then the proctor uses 📥 Import offline submission (.stsub).
A candidate switches computers because of a faultApprove 🔀 Switch computer; add make-up time via Adjust time if needed.
Forgot the admin passwordForgot password? + the Recovery code saved when the account was created.
  • Enter in forms/dialogs = click the primary button (Save / Sign in / Apply).
  • Ctrl+Alt+Shift+Q — the proctor exits Kiosk mode on a candidate's computer.
  • Candidates' answers save continuously — there's no need to remind candidates to save.
  • Editing a Test during the exam propagates to every derived Test code and is pushed to computers currently taking the exam; scores are graded per question (snapshot), so adding/removing questions stays consistent.

🎓 Guide for Candidates

How to take the exam in the desktop application (ExamQR Client) or in a browser / on a phone.

💡

This guide is for candidates taking an exam with ExamQR. There are two ways to take the exam:

  • Computer (ExamQR Client application) — installed in a LAN computer lab; also includes a scientific calculator and a scratchpad.
  • Browser / phone — open the address (or scan the QR code) provided by the proctor.

Answering works the same way on both. Differences are noted where they apply.

No section matches your keyword. Try another one.

The proctor will give you:

  • The server address (or a QR code if you take the exam on a phone).
  • Your Candidate ID (e.g. HS001).
  • Your password (usually your date of birth in ddMMyyyy format, e.g. 12/05/2008 → 12052008).
⚠️

⚠ During the exam: do not quit the application and keep the network connection stable. Your answers are saved automatically — you don't need to press save.

The Choose server screen:

  1. The software scans automatically for servers on the LAN (showing "📡 scanning…"). Choose the server with the right Exam name → Connect.
  2. If you don't see it, click ⌨ Enter address manually → enter the Host (the IP the proctor reads out) and the Port → Connect.
  3. Tick Remember to connect automatically next time.
💡

If you take the exam in a browser/on a phone there is no such step — you open the address/QR code directly and go to the sign-in screen.

Step 1 — Candidate ID:

  • Enter your Candidate ID (e.g. HS001) → Continue (or press Enter).

Step 2 — Confirm & password:

  • The software shows your name and the number of Subjects. Check your name carefully — if it is wrong, click ◀ Change Candidate ID and tell the proctor.
  • Enter your Password → Enter exam room.

After you sign in you see the Subject list. Each Subject shows its name, Candidate number/Seat, Room, and status labels (Open / Not open / In progress / Submitted / Score).

The buttons on each Subject (depending on its status):

  • Start exam — the Subject is open; begin answering.
  • 🕓 Enter waiting room — the Subject is scheduled but not yet open: go to the waiting screen.
  • View results — the Subject is submitted; see your score.
  • 🔄 Refresh — reload the list.

Waiting room

Shows a countdown to the start time. When the time arrives and the proctor opens the exam, the software takes you into the exam automatically. You can ◀ Go back to the Subject list at any time.

This is the main screen. Its layout:

4.1. Top bar

  • Left: the Subject name + your name.
  • Middle (desktop application only):
    • ⌨ Input method: Off / TELEX / VNI — choose a Vietnamese typing style.
    • 🧮 Calculator — open the scientific calculator (see §5).
    • ✏️ Scratchpad — open the scratch drawing board (see §5).
  • Right: Time remaining (countdown; turns yellow/red as time runs low). If the Test is timed by section/question, there is also a ⏱ current section clock.

4.2. Question area (middle)

Shows the question content (text, images, formulas). How to answer by question type:

Question typeHow to answer
True/FalseEach statement has two boxes, True / False — choose one.
Single-answer multiple choiceChoose one option (A, B, C, D…).
Multiple-answer multiple choiceTick all the correct options (square boxes). The question scores in full only when exactly the correct options are ticked; a missing or an extra tick scores 0.
Fill in word / numberType your answer in the box.
EssayType your answer in the large box. If it is a file submission (practical), choose/attach the file as instructed.
MatchingConnect the left column to the right column: click one item then click an option (draw a link), or tick on the table, or drag-and-drop, or choose from a list.
PassageSeveral sub-questions share one passage — answer each one (fill in a box / choose within the passage / use the table).
Word orderingDrag the cards into the correct order.
💡

Every time you choose or edit, the answer is saved immediately.

4.3. Question list (right side)

  • The title Question list + progress Answered N/M.
  • A grid of question numbers, with colors showing status:
    • Gray = not answered · Blue = answered · Yellow border = flagged for review · Dark blue = current question.
  • Click a question number to jump to it. If the Test has sections, the grid is grouped by section with a clock for each section.

(On a phone/browser, the question list is in the progress bar at the bottom — click it to open the question grid.)

4.4. Bottom bar — navigate & submit

  • ◀ Previous / Next ▶ — move between questions; the middle shows Question N/M.
  • 🚩 Flag for review — mark a question to come back to later (shown with a yellow border in the list).
  • 🚪 Request to exit — Kiosk mode only: ask the proctor for permission to leave.
  • Submit — submit everything (see §6).

4.5. Notification banners

  • 🔴 Disconnected: "Lost connection to the server — retrying automatically. Your answers ARE STILL SAVED." → stay calm and keep going; don't close the application.
  • 🟡 Reconnecting… — wait a few seconds.
  • 🟡 📢 Message from the proctor — a message sent by the proctor.
  • 🔵 The Test was just updated — the proctor edited the Test; the content updates automatically and the answers you chose are kept. Click ✕ to close.

🧮 Scientific calculator

A floating window that stays on top. It has number keys, operators, and the functions sin/cos/tan, √, log, powers… The DEG button switches between degrees/radians. Enter numbers then press = or Enter.

✏️ Scratchpad

A floating drawing window: choose a pen color (black/red/blue/green), stroke width (Thin/Medium/Thick), 🧽 Eraser, ↶ Undo, 🗑 Clear all.

💡

Scratch work is not submitted — it is only for your calculations and notes.

  1. Click Submit → confirm (e.g. "Submit now?").
  2. The screen shows Submitting…. When it finishes, it moves to Results.
  3. If you lose the network while submitting: a ⬇ Export submission file button appears — click it to save a .stsub file and hand it to the proctor to load for you.
💡

When time runs out, the system submits automatically for you.

Depending on the proctor's settings, after submitting you will see one of these:

  • Score shown: a percentage circle + N/M points, with a ✓ Passed / ✗ Not passed label (if a passing score is set). There may be breakdowns by section and by question type, and View result details (review each question, "Your answer" vs "Correct answer"). If a rule violation was recorded, a % deduction line and the final score are shown.
  • Score not shown: "✅ Submitted successfully — Scores will be announced later."

At the bottom of the screen:

  • ◀ Back to Subject list — if you have other Subjects to take.
  • 🚪 Exit — once you have finished all Subjects (there may be an automatic exit countdown).
⚠️

If you see ⛔ This computer has been locked: you signed in on another computer or the proctor suspended you — tell the proctor.
